RSVPs, guests, capacity, and waitlists
Every player on an event's invitation list has one RSVP. The response can be updated until the organizer is ready to use the confirmed attendance.
Who can do this? A player can manage the RSVP through its private link. Owners and admins can change member statuses from the event page. Attendance for a Spond-managed event is changed in Spond.
Choose a response
- Open your invitation link or choose Open RSVP under My RSVPs.
- Select Attending, Maybe, or Declined.
- Return to the same link whenever your plans change.
The choice saves immediately. Attending counts toward capacity; Maybe and Declined do not. Other invitees who have responded are listed on the RSVP page.
Add guests and a note
- Choose Attending or Maybe.
- Select Add Guest.
- Enter the guest's name and select their position, or Any.
- Repeat for additional guests.
- Add an optional note for the organizer.
- Choose Update Details.
When your response is Attending, capacity counts you plus every guest on your RSVP. A guest is not a permanent team member and does not receive their own account, invitation, or lasting player rating.
Tip: If a guest becomes a regular player, ask an admin to add them on the Members page instead.
How capacity is chosen
QuiteEven uses the first available rule:
- The event's Max Attendees value.
- The team's default maximum players per event.
- Unlimited capacity when neither is set.
The limit counts people, not RSVP records. One member bringing two guests uses three places.
What happens when the event is full
When a response becomes Attending, QuiteEven checks the capacity. If the new total exceeds the limit, it moves an RSVP to a waitlist:
- A member without guests receives Waitlisted.
- An RSVP containing guests receives Guest waitlisted. The host and guests are handled together by that RSVP.
- The RSVP page shows the current queue position.
The displayed queue uses the response time associated with each RSVP. Changing your status and joining again can therefore change your place. Promotion still applies the member-before-guest rule described below.
Member and guest priority
Before the team's guest-priority deadline, a new member confirmation can take priority over a confirmed RSVP that contains guests. QuiteEven moves the most recently confirmed guest-containing RSVP to Guest waitlisted. If there is no such RSVP, the new confirmation is waitlisted.
Once the event is inside that deadline, an already confirmed guest-containing RSVP is no longer displaced for a new response; the newcomer is waitlisted. The default deadline for a new team is 24 hours before the event, and an admin can change it in Team settings.
Important: “Guest waitlisted” applies to the whole RSVP, not only to one named guest. Check the displayed status before arriving.
When a place opens
If a confirmed member changes to Declined, Maybe, or No response, QuiteEven automatically promotes one waitlisted RSVP:
- Regular waitlisted member RSVPs have priority.
- Guest-waitlisted RSVPs follow.
- Within each group, the earliest waitlisted RSVP is selected first.
Reopen the RSVP link or My RSVPs to confirm the latest status.
Administrator attendance controls
- Open the event and find the player in Attendance.
- Choose Toggle status.
- Set Attending, Declined, Maybe, or No response.
Setting a response to Attending runs the same capacity check. Changing a confirmed response away from Attending can promote the next person. Admins cannot directly choose a waitlist status from this menu; the capacity rules do that automatically.
What happens next?
Before generating teams, the organizer should review Confirmed players, guests, and both waitlist groups. Only the finalized playing roster should be used for team generation and competition.
