Administrator quick start

Use this checklist to take a new team from an empty roster to its first set of balanced teams.

Who can do this? Team owners and admins. The account that creates a team becomes its owner.

1. Create or select the team

  1. Open the team selector near the QuiteEven name.
  2. Select an existing team, or choose Create Team.
  3. Enter the team name, description, and short URL name.
  4. Choose the sport that matches how you want to rate and balance players.

Free teams start with General. Hockey and Badminton sport-specific roles and competition tools require an eligible plan. See Plans and permissions.

2. Check the team settings

  1. Open Team settings and select General.
  2. Confirm the team name and sport.
  3. Set the default event capacity and guest-priority deadline.
  4. Add custom team names if your group uses them.

Changing sport later also changes the roster's positions and ratings. Make that choice before rating a large roster when possible. The Team settings reference explains every option.

3. Add and rate the roster

  1. Open Members and choose Add Members.
  2. Enter each player's name and email.
  3. Choose a preferred position and a fair starting rating.
  4. Use Add another for more rows, then save the group.
  5. Open the pencil beside each player who needs another playable position, a different rating, or an admin role.

Adding a person creates their player profile; it does not send an email. If their email already belongs to a QuiteEven account, the profile is connected automatically. Otherwise, they can claim it later from an RSVP link.

4. Create the first event

  1. Open Events and choose Add event.
  2. Enter a name, type, date and time.
  3. Add the location, description, and a capacity if this event differs from the team default.
  4. Leave Repeat event off for one event, or set the number of days between occurrences and the number of occurrences.
  5. Choose Create Event.

QuiteEven creates a separate RSVP record for every member currently on the roster. Add missing members before creating the event. See Events and invitations for recurring events and editing rules.

5. Send invitations and monitor replies

  1. Open the new event.
  2. Choose Send invitation emails.
  3. Read the result showing emails sent, failed, and skipped because no email was available.
  4. Follow the attendance groups: Confirmed, Maybe, Declined, No response, and Waitlisted.

The button emails only profiles currently marked No response. Choosing it again resends to those profiles; it does not email people who already replied.

Tip: Each email contains a private, profile-specific RSVP link. Ask members not to forward it.

6. Prepare and generate teams

  1. Check that everyone who is playing is Confirmed.
  2. Correct a response with Toggle status if a member asked an admin to do it for them.
  3. Review guests, waitlisted players, positions, and ratings.
  4. Generate the competition teams and review the result before play starts.

What happens next?

Members can respond without an account, claim their profile, and later find all linked invitations under My RSVPs. Capacity rules are applied when a response becomes Attending. Read RSVPs, guests, and waitlists before using a limited event capacity.
