Importing Members and Using Integrations
Imports save time when your roster already exists in Bokat or Spond. QuiteEven offers two different approaches:
- One-time import: paste a Bokat report or upload a Spond spreadsheet. No account credentials are saved.
- Saved integration: connect a Bokat or Spond account so an administrator can sync members and supported events again later.
Who can do this? Team owners and administrators can import members and manage integrations. Regular members cannot.
Before you import
- Open the team and go to Settings → Import.
- Check how many member places are available. Free teams can have up to 20 members.
- Decide which position and starting rating should be used when the source does not provide them.
- Read Rating Players if you are unsure which starting rating to choose.
An imported person becomes a team member profile. Importing does not create a new QuiteEven login for that person. If the email matches an existing QuiteEven user, the profile can be connected to that user.
Import a Bokat member report
Use this method for a copied, comma-separated Bokat member report.
- In Bokat, open the member list and copy the member report, including its header row.
- In QuiteEven, open Settings → Import.
- Choose Paste Report under Bokat report.
- Paste the report and select Preview Members.
- Review the accepted members and any rows that were skipped. A row without an email address is skipped.
- Select the people to import.
- Set the default position and rating. You can also correct an individual person's position and rating in the preview.
- Select Import Members, then review the result for each person.
QuiteEven recognizes a valid Bokat category as a position when it matches a position supported by the team’s sport. Otherwise, the default position you choose is used.
Import a Spond spreadsheet
The uploader accepts Excel workbooks and CSV files. It recognizes common headings such as Name, First name, Last name, Email, Position, Elo, and Rating.
- Export the member list from Spond as an Excel or CSV file.
- In QuiteEven, open Settings → Import.
- Choose Import Excel under Spond Excel and select the file.
- Review the preview. Blank rows are ignored; rows without an email are skipped; a non-numeric rating is rejected.
- Select the people to import.
- Set a default position and rating, then correct individual rows if needed.
- Select Import Members and review the result list.
If the file has separate first-name and last-name columns, QuiteEven combines them. When a valid position and rating are present, the importer uses them; otherwise, it uses the defaults selected in the preview.
Free-plan limit: You cannot select more new people than the remaining places on a Free team. Existing matches do not consume another place, but the preview may not know every match in advance. If the import is rejected, select fewer people or upgrade the team.
Duplicates, matches, and partial results
QuiteEven tries to match an imported person first by their identity from the source and then by email address.
- A match is linked or updated instead of creating a second member.
- A person with no match is added as a regular member profile.
- Each selected person is processed separately. Some can succeed even if others fail.
- The result screen shows which people succeeded and the reason for each failure.
After an import, open Members and check names, positions, ratings, and account links. Correct anything that was incomplete in the original report. See Managing Members.
Set up a saved integration
Saved integrations are useful when you expect to repeat the import or synchronize events.
Plan required: Saved integrations and direct account connections require a plan with Integrations enabled. The one-time Bokat report and Spond spreadsheet imports remain available without saving credentials.
- Open Settings → Integrations or Settings → Integrations → Saved.
- Select Add Integration.
- Enter a recognizable name and choose Bokat or Spond.
- Enter the requested credentials. Bokat asks for a username and password. Spond asks for an email, password, and group ID.
- Leave Auto Sync off for manual-only syncing, or turn it on and choose an interval of at least five minutes. The default interval is 60 minutes.
- Select Create Integration.
- Use Sync now to fetch members immediately and, when the provider supports them, events.
Saved credentials are protected by QuiteEven and are not displayed again. When editing a connection, leave credential fields blank to keep the saved values unchanged.
Manage a saved integration
Each saved integration shows whether it is active, whether automatic sync is on, its interval, and when it last synchronized.
- Sync now imports or matches current members and synchronizes supported events.
- Edit Settings changes the display name, automatic-sync choice, interval, or credentials.
- Disable Sync pauses scheduled syncing without deleting the connection.
- Delete permanently removes the saved connection. Previously imported team data is not presented as part of the deletion dialog, so review the team before deleting.
For a Spond-managed event, QuiteEven treats Spond as the source of its event and attendance data. Make those changes in Spond, then sync again.
When to use each method
- Bokat report: Best for a quick roster copy from Bokat. No credentials are saved; paste another report when you need another update.
- Spond spreadsheet: Best when you already have a Spond export file. No credentials are saved; upload another export for later updates.
- Saved integration: Best for repeated member or event synchronization. Credentials are saved, and updates can run manually or on a schedule.
If an import does not look right
- Check the skipped-row messages and correct the source data.
- Make sure every person has an email address.
- Confirm that position names make sense for the team’s selected sport.
- For a saved connection, check that it is active and that its credentials and Spond group ID are current.
- If some people succeeded, do not blindly import them again; review the result and retry only the failures.
