Events and invitations
An event holds the schedule, attendance list, capacity, and any competition run for that date.
Who can do this? All linked team members can browse team events. Owners and admins can create, edit, delete, and send invitations for QuiteEven-managed events.
Browse the event calendar
- Open Events.
- Move between months with the previous and next controls.
- Select a date or event to open its details.
Create a single event
- Choose Add event.
- Enter the required Event Name and Date & Time.
- Choose Game, Practice, or Other.
- Search for a location and add an optional description.
- Enter Max Attendees, or leave it empty to use the team default. If neither the event nor the team has a limit, capacity is unlimited.
- Choose Create Event.
QuiteEven immediately prepares a No response entry and a private RSVP token for each person currently on the roster. It does not send email until an admin chooses Send invitation emails.
Create recurring events
- Complete the normal event details.
- Select Repeat event.
- Enter the number of days between events.
- Enter the number of occurrences, from 1 to 50.
- Check the displayed final date, then create the events.
Each occurrence is a separate event with its own RSVP list, invitation emails, attendance, and competition. Editing or deleting one occurrence does not edit the others.
Tip: Finalize the roster first. Members added after an event or series is created are not automatically added to those existing RSVP lists.
Add extra event information
While creating an event, choose Add field under Additional information
and enter a label and value. The event header recognizes these standard labels:
category, duration, format, and surface.
Use the description for instructions everyone must see. Additional fields are best for short facts such as a playing surface or match format.
Send invitation emails
- Open the event.
- Choose Send invitation emails.
- Review the summary of sent, failed, and skipped emails.
Only roster profiles whose event status is No response are selected. A profile without an email is skipped. Choosing the button again resends to profiles still marked No response, so use it as a reminder only when intended.
Each message contains a unique RSVP link for that player profile. The member can respond without signing in and can use the same link to update the reply. They should not share it with another player.
Monitor invitation status
The event attendance area groups people as:
- Confirmed for Attending responses, including their guests in the count.
- Maybe and Declined.
- No response for members who have not chosen a status.
- Waitlisted and Guest waitlisted when capacity rules apply.
Owners and admins can choose Toggle status beside a person to set Attending, Declined, Maybe, or No response on their behalf. This is useful for an offline reply. Spond-managed events must be updated in Spond instead.
Edit or delete an event
- Choose Edit event to change its name, type, date and time, location, capacity, or description.
- Choose Delete event only when the event should be permanently removed. Deletion also removes its attendance and competition data.
Events marked Managed in Spond cannot be edited, deleted, invited, or have attendance changed in QuiteEven. Update them at the source and synchronize again.
What happens next?
Members reply through the invitation and can add guests or a note. QuiteEven checks event capacity when a response becomes Attending. Continue with RSVPs, guests, and waitlists, then Generating teams and running competitions.
